European data hosting and data protection – how DynaSys collects, uses and protects personal information.
Last updated: 25 October 2026
1. About DynaSys
DynaSys provides the DynaSys HR platform, a cloud-based human resources management solution designed to help businesses manage their HR operations securely and efficiently.
We are committed to protecting personal information and maintaining the confidentiality, integrity and security of the data entrusted to us.
For privacy-related enquiries, please contact us through our website contact page.
2. Information we collect through our website
When you contact us, request a demonstration or enquire about a subscription, we may collect the information you provide, including your name, business e-mail address, telephone number, company details and message.
We may also process limited technical information necessary to operate our website, maintain security and prevent spam or misuse.
We do not use advertising trackers to profile visitors for targeted advertising.
3. How we use your information
We use website information only for legitimate business purposes, including:
- Responding to enquiries and support requests.
- Arranging product demonstrations.
- Preparing quotations and subscription proposals.
- Maintaining website security and preventing abuse.
- Meeting applicable legal and regulatory obligations.
We do not sell personal information or share it with third parties for their own marketing purposes.
4. Customer data within DynaSys HR
Customer organisations retain control of their HR data entered into the DynaSys HR platform.
Depending on the applicable data protection framework and the services provided, customers generally act as data controllers, while DynaSys processes personal data on their behalf to provide the platform.
We are committed to protecting customer data through appropriate technical and organisational safeguards, including:
- Data isolation: each customer organisation is restricted to its own data, enforced by the database itself.
- Role-based access: access is controlled according to assigned user roles and permissions.
- Encryption: data is protected in transit using encryption.
- European data hosting: the DynaSys HR database, which holds customer HR data, is hosted in a European data centre region (Frankfurt, Germany), together with its daily backups.
- Backups: daily backups are maintained to support data recovery, subject to the applicable backup and retention arrangements.
- Audit trails: relevant system activities and changes are recorded to support accountability and traceability.
- Restricted access: DynaSys personnel do not routinely access customer HR records. Access, where necessary, is restricted to authorised purposes and subject to appropriate controls.
Customer data is not used for advertising or sold to third parties.
5. Data protection and European standards
DynaSys is committed to applying strong data protection principles, including confidentiality, data minimisation, purpose limitation, secure processing and appropriate retention.
Where applicable to the processing activities, we aim to comply with the EU General Data Protection Regulation (GDPR) and other relevant data protection requirements.
Hosting data in European data centres provides an important layer of data-location protection. The applicable legal requirements depend on the circumstances of the processing, the parties involved and any relevant international data transfers.
6. Service providers and data transfers
We use carefully selected service providers for cloud hosting, database infrastructure, e-mail delivery and other essential platform services.
These providers may process personal data only as necessary to deliver their services and are subject to appropriate contractual, confidentiality and security requirements.
Some of these services operate outside Europe and may process limited data there: delivery of e-mails (such as invitations and notifications), the global network that delivers our website and application pages, phone push notifications, and an additional encrypted copy of the database kept by our code-hosting provider for disaster recovery.
Where personal data is transferred across borders, appropriate safeguards will be applied where required by applicable data protection law.
7. Data retention and deletion
Website enquiry information is retained only for as long as reasonably necessary to respond to requests, maintain relevant business records and meet applicable legal obligations.
Customer HR data is retained and deleted in accordance with the customer’s instructions, the applicable service agreement, configured retention arrangements and legal requirements.
Requests concerning deletion of website enquiry information may be submitted through our website contact page.
8. Your data protection rights
Subject to applicable law, individuals may have the right to request access to their personal data, correct inaccurate information, request deletion, restrict or object to certain processing, and obtain a copy of their data where applicable.
To exercise these rights or raise a privacy concern, please contact us through our website contact page.
Where DynaSys processes employee data on behalf of a customer organisation, requests relating to that employee’s HR records should generally be directed to the relevant employer or organisation.
9. Updates to this policy
We may update this Privacy Policy from time to time to reflect changes in our services, security practices or legal requirements. The latest version will be published on this page, together with its revision date.
